If you need scheduling, dispatching, and invoicing for a crew, a field service platform like Jobber or Housecall Pro is built for that. If you mainly need to stop losing leads and follow up automatically, a simple custom CRM built around your process is cheaper to own and far easier to use. Most owners under ten employees are in the second group.
First, what a CRM is actually for
A CRM is a list of every person who has contacted you, where they are in the process, and what should happen next. That is it. The software industry has buried that simple idea under features, and most small business owners end up paying for a system they open twice and abandon.
So the real question is not which CRM has the most features. It is which one you will still be using in three months.
The four options
Field service platforms (Jobber, Housecall Pro, and similar)
These are built for businesses that schedule crews, dispatch jobs, and invoice on site. Scheduling, route planning, estimates, invoicing, and payments are all in one place, and they do those things well. The trade offs are per user pricing that grows with your team, a learning curve, and a lot of screens you will never use. If you have trucks on the road and a dispatcher, this category is probably right.
General CRMs (HubSpot, Zoho, and similar)
These started as sales tools for office businesses. HubSpot has a free tier that is genuinely useful for tracking contacts and deals. The weakness for a service business is that nothing is built around jobs, quotes, or the trades, so you spend time bending the tool to fit, and the automation you actually need usually sits in a paid tier.
Spreadsheets and sticky notes
Free, familiar, and how most businesses actually run. The problem is follow up. Nothing reminds you, nothing sends the customer a confirmation, and the leads that did not answer the first call quietly disappear.
A custom CRM built around your process
One screen with your leads, your stages, and the automations you need: instant alerts, automatic customer confirmations, follow up sequences, and one click review requests. No features you did not ask for, no per user fees, and you own it. The trade off is that it will not dispatch a crew or run payroll. It is a lead and follow up system, and for most small businesses that is the part that is broken.
How to choose
| If you... | Pick |
|---|---|
| Run multiple crews with a dispatcher and invoice on site | A field service platform |

| Are the owner, the salesperson, and the crew, and leads slip through the cracks | A custom CRM focused on follow up |
| Have under $100 a month and a lot of patience | HubSpot free, and set reminders religiously |
